Elections

HYAA will be holding our Annual Board Elections on Sunday, October 26th from 5:00-6:45 PM at the Hastings American Legion. Any members of the HYAA association can run and serve, if elected, as a Board Member. 

 

For the 2025  Elections, the following positions are up for election:

1.  Traveling Baseball Director (9U-15U) - 3 year term

  • The Traveling Baseball Director oversees all aspects of HYAA’s travel baseball program. This includes organizing tryouts, forming teams, recruiting coaches, managing registration, and coordinating tournaments. The Director works closely with the HYAA Board, Facilities, Equipment, and Umpire Coordinators to ensure smooth operations throughout the season.

Key Duties:

  • Plan and present the seasonal program

  • Manage registration and team formation

  • Schedule games, practices, and tournaments

  • Coordinate coaches, officials, and volunteers

  • Oversee equipment, uniforms, and awards

  • Serve as the main point of contact for tournaments

  • Promote the program and handle communications

This role is ideal for someone organized, communicative, and passionate about youth baseball.

 

 

2.  Director of Technology - 3 year term

  • The Technology Director manages all digital tools and platforms that support HYAA’s operations and communication. This includes maintaining the website, setting up registrations, managing social media, and supporting board members with tech needs.

Key Duties:

  • Update and manage the HYAA.info website and team pages

  • Create and maintain online registrations

  • Oversee SportsEngine platform and mobile app

  • Manage HYAA’s social media accounts (Facebook, Instagram, Twitter/X)

  • Maintain Office 365 and GoDaddy domain settings

  • Act as the main contact for all tech-related initiatives

  • Support other board members with digital tools and systems

This role is perfect for someone tech-savvy, organized, and eager to support youth sports through digital leadership.

 

 

3.  Director of Volunteer Services - 3 year term

  • The Director of Volunteer Services oversees all volunteer coordination for HYAA, including managing the DIBS system (volunteer hours). This role ensures volunteer opportunities are clearly posted, hours are accurately tracked, and reports are shared with leadership to support smooth operations.

Key Duties:

  • Create and manage all DIBS (volunteer) listings

  • Track and credit hours for coaches, managers, and board members

  • Send regular reports to the President and Treasurer for invoice updates

  • Support all HYAA programs with volunteer coordination

This role is ideal for someone organized, detail-oriented, and passionate about community involvement.

 

 

4.  In-House (T-Ball & Farmball) Baseball Director - 3 year term

  • The In-House Youth Baseball Director oversees all HYAA in-house levels and leads the T-Ball and Farmball programs, ensuring a fun, safe, and well-organized experience for young players and their families.

Key Duties:

  • Plan and manage the overall seasonal program (T-ball, Farmball, Minors, Majors)

  • Oversee registration, team formation, and scheduling

  • Recruit and support volunteer coaches

  • Coordinate equipment, uniforms, and awards

  • Communicate field needs and program updates

  • Serve as the main contact for families and coaches

  • Support tournaments and manage volunteer (DIBS) needs

This role is ideal for someone who enjoys working with young athletes and creating a positive first experience in baseball

 

 

5.  Minors Baseball Director - 3 year term

  • The In-House Youth Baseball Director for the Minors division leads HYAA’s Minors-level baseball program, ensuring a fun, organized, and skill-building experience for young players.

Key Duties:

  • Plan and manage the seasonal Minors program

  • Oversee registration, team formation, and scheduling

  • Recruit and support volunteer coaches

  • Coordinate equipment, uniforms, and awards

  • Communicate field needs and program updates

  • Serve as the main contact for families and coaches

  • Support tournaments and manage volunteer (DIBS) needs

This role is ideal for someone who enjoys working with youth athletes and fostering a love for the game in a structured, supportive environment.

 

 

6.  HYAA Player Development & Assistant Softball Director - 2 years remaining on 3 year term

  • This dual-role position supports HYAA by leading player development across all sports and assisting with the Traveling Softball program. The role focuses on skill-building, off-season training, and supporting coaches and families with development resources.

Key Duties:

  • Coordinate with travel directors for baseball and softball

  • Schedule/reserve gym and practice space for clinics and off-season training

  • Share drills, QR codes, and development resources with coaches and families

  • Build partnerships with local pitching/hitting coaches

  • Align with Hastings High School staff on player development

  • Support softball tryouts, evaluations, and team formation

  • Assist with registration, communication, and tournament coordination

This role is ideal for someone passionate about athlete growth, organized in scheduling, and collaborative across programs.

 

 

7.  Softball Equipment Director - 1 year remaining on 3 year term

  • The Softball Equipment Director manages all gear, uniforms, and equipment for HYAA’s softball programs. This role ensures coaches and players are equipped and ready for each season.

Key Duties:

  • Order and distribute uniforms, gear, and first aid kits

  • Coordinate with coaches to collect and inventory equipment

  • Reserve gym space for winter clinics and fielding drills

  • Support in-season gear needs and replacements

  • Work with Community Ed and travel directors on facility needs

This role is ideal for someone organized, responsive, and passionate about supporting youth softball behind the scenes.

 

 

If you are interested in any of these positions, please send a Letter of Interest, outlining your intent to run for a position and why you believe you should be elected, by October 19th to the following email: Elections@hyaa.info.  Upon receipt of all Letters of Interest, they will be posted here on our website.

If you are unable to make it to in-person voting, absentee ballots will be posted online shortly after the October 19th deadline, with the final list of candidates running for all open positions.  Please take the opportunity to complete your absentee ballot and return to a Board Member, in person, and in a sealed envelope, by 5:00 pm on Saturday, October 25th.  You may also drop off your sealed ballot to the voting table during voting hours.

Note to Candidates running:  Counting of the votes will occur immediately after voting closes, with the results announced by 6:55 PM on Sunday, October 26th.  If you are running for a position, and you are then elected to the Board, your presence will be required to attend the Board Meeting.  We will introduce the new members of the board immediately after voting commences. Candidates should plan on being in attendance, at the American Legion, from 6:45-7:00 in the event they are elected in.
